- Assist with filing of job records

Job Title Receptionist/Administrator within a Spa
ROLE
· Report to the Spa Owner on daily activities and assist in producing business activity reports
· Book appointments with maximum productivity
· Match client treatments to appropriate therapists
· Up-sell treatments to clients when they book in
· Have full knowledge of treatments and facilities on offer
· Ensure the efficient day-to-day running of the Spa working closely with the beauty therapists ie. therapists are running on time, therapists are made aware of their days’ list etc.
· Closing the sales of products and treatments with clients at reception, taking over from therapists if they are booked back to back
· Promoting the Spa, treatments and products to clients over the phone or at reception
· Organising marketing events and getting involved working closely with the owner
· Arrange holiday and other rotas
· Coordinate arrangements for Staff Meetings, Staff appraisals etc...
· Organise, attend and participate Spa meetings
· Cashing up and opening the till as and when required according to your rota
· Ensure the operation of the Spa patient complaints procedure

· Keep the client information leaflet and other client communications up-to-date
· Keep all Spa documentation up-to-date, including policies, procedures and handbooks
· Ensure the maintenance of the Spa computer system
· Ensure practice compliance with Health and Safety requirements
· Ensure that Spa equipment is serviced and maintained
· Answer the telephone in a friendly, helpful and courteous manner
· Welcome all clients arriving at the Spa

· Ensure that patient records are completed correctly before filing and store them in an efficient, tidy and secure manner
· Encourage prompt payments and chase outstanding debts on deposits in accordance with the Spa policy
· Liaise with supply companies, and other organisations as required
· Send out text messages, newsletters as and when required to clients
· Keep the office, reception area and waiting room, restroom clean and tidy
· Organise stock supplies and control
· Other duties as necessary for the efficient operation of the Spa eg. assisting beauty therapists in keeping treatment rooms tidy, cleaning the spa
